How to Make a Wedding Budget Spreadsheet and Track Vendor Payments
A wedding budget sheet needs two lists: categories with a planned amount, and vendors with their quote, what you have paid, the balance and the due date.
Set the budget by category
List categories (venue, catering, photography, attire, flowers, music, rings, stationery) with a planned amount each. Add a share-of-budget column so you can see where the money goes:
=B2/SUM($B$2:$B$12)Track every vendor
| Vendor | Quote | Paid | Balance |
|---|---|---|---|
| Venue | $4,500 | $1,500 | $3,000 |
| Photographer | $2,200 | $700 | $1,500 |
| Caterer | $3,800 | $1,000 | $2,800 |
| Florist | $900 | $300 | $600 |
| Total | $11,400 | $3,500 | $7,900 |
Balance is =Quote-Paid. Add columns for the deposit date, the final payment date and the vendor's contact details.
See what's due soon
With balances in D and due dates in E, the total due in the next 30 days is:
=SUMIFS(D:D, E:E, "<="&TODAY()+30, E:E, ">="&TODAY())Check it every couple of weeks so no final payment catches you by surprise.
Leave room for extras
Keep a buffer line, often 5% to 10% of the total, for alterations, tips, delivery fees and last-minute changes.
